Practical Information

Dear colleagues, as the Conference is fast approaching, we would like to provide you with some practical information concerning your participation. Please read the following points carefully.

The Prague Congress Center is adjacent to the Vyšehrad station on Link C of the Prague underground railway network, providing convenient access by public transport from the city’s airport and all major rail and bus stations.

REGISTRATION

The Registration desk is located on the 2nd floor of the Prague Congress Center at entrance number 5.

  • All documents included in the registration package (Conference bag, personal name badge, printed programme, etc.) will be handed out to registered participants during the following opening hours.
  • All delegates will receive a complimentary ticket for public transport at the badge pick-up. The ticket will be valid from 18 to 21 September for an unlimited number of journeys.
  • Delegates who have not yet settled the registration fee in full will be asked to pay the amount due.
  • The registration desk accepts Credit / Debit Cards (Visa, MasterCard) or cash (EUR only).
  • Accompanying persons must come to pick up their badges with their delegates.
  • Please note that badges need to be always worn at the venue and related social events during this Conference.
  • If you lose your badge, please contact the registration desk. Kindly note that the emission of a new badge is charged with a 10 EUR fee. It will not be possible to enter the Conference without a valid badge.

Certificate of attendance

All registered delegates present on-site are entitled to receive a Certificate of Attendance. The certificate can be downloaded from the Online Portal after the Conference.

Lunches and Coffee Breaks

Lunches and coffee breaks are provided during the main Conference days to all registered delegates and all registered accompanying persons near the exhibition area.

Internet

Free Wi-Fi internet connection is available in the venue.

Please note, that the tickets cannot be purchased at the registration desk based on the capacity of the venue.

All participants are asked to bring their conference badge to the dinner, as it will serve as a ticket

Oral Presentations

Your presentation needs to be handed over to the personnel in the SPEAKERS’ PREVIEW ROOM on a USB flash disk as soon as possible, but no later than TWO HOURS BEFORE the start of your session.

The IT personnel will upload your presentation and you will be able to check that the presentation is operating correctly.

Please note that it is not possible to present from your laptop in the lecture room. All presentations must be uploaded in the Speakers’ Preview Room.

ABSTRACT BOOK

Abstract book (with ISBN number) will be available for all registered delegates on Conference portal in electronic version.

POSTERS

All presenting authors should bring their printed posters to the venue.

Width: 90 cm

Height: 120 cm

PORTRAIT ORIENTATION

A0 format is the most suitable format. Your poster should not exceed the recommended size.​

The poster area will be located in the Forum Hall downstairs and upstairs and will be open for poster mounting from Monday, 18 September, 13:00.

Posters should be set up ideally no later than the Welcome/Opening Ceremony (Monday, 18 September, at 15:00) and remain in place for the duration of the conference.

Each poster will be placed on one side of the board and each will be given its unique number. Please make sure to mount your poster on the poster board with the number corresponding to the number assigned to your poster (previously sent via e-mail).

Suitable fixing material will be provided by the organisers. If the posters are made of a different material than paper (e.g. cloth), organisers do not guarantee that the posters will remain in place.

The Poster Desk with assistants will be located next to the Registration Desk.

Please remove your poster on Thursday, 21 September, from 12:00 until 14:00.

The conference organisers are not responsible for any loss or damage to posters that are not removed by the specified time. Posters left behind after this time will be disposed of.

The exhibition is located at the 2nd floor, part of the Forum Hall.

Parking

Participants arriving by car are advised to use the underground parking available. Please note parking fees are not included in the registration fee.

Doctor / First Aid / Emergency

First aid is not available at the venue. In case of emergency, please refer to the registration desk and ask for assistance or call 112 directly.

ATM

Use the ATM machine in our building. It is located next to the entrance No.5. (Komerční Banka)

Insurance and Liability

The Organisers will accept no liability for personal injuries sustained or for loss or damage to property belongings of Conference participants, accompanying persons either during or because of the Conference or during the accompanying programme. Participants are strongly recommended to seek insurance coverage for health and accident, lost luggage, and trip cancellation.
